Manage Waiting List

Once people have signed up onto a Waiting List and you are ready to open up extra spots in a program, you can use this feature to offer spots.

  1. Go to MANAGE > WAITING LIST
  2. Find the individual you want to OFFER A SPOT.
  3. Set an expiration date for your offer
    1. This will send an email the the requesting account holder
      1. In the email they will have 2 options: ACCEPT OFFER or DECLINE OFFER

    2. It will also post it on the account holders dashboard. See below.
  4. Once an offer has been accepted or declined the state will be updated.
    1. If ACCEPTED, the account holder will be directed to the registration page of the offered program.

      NOTE: Only the account holder will be able to register for the open spot and other accounts will not be able to register for that open spot.

    2. If DECLINED, the Club Admin will be notified via email
  5. When the offered spot has been purchased the registrant will automatically move to the Registered tab.

Transition/State Description
In Queue Initial state, status after a USER make waiting list request.
Offers Pending Club Admin can select, set an offer expiration date, and it will send email to the account holder who requested the spot (REQUESTOR).  The email will contain an ACCEPT OFFER and DECLINE OFFER button for the REQUESTOR.
Accepted If the offer is accepted, it will automatically add 1 spot to the program and lock it to the REQUESTOR.
Declined If the offer is declined, it will email the CLUB ADMIN email, that is set in the SETTINGS > CLUB SETTING page.
Expired If the offer is never responded to the offer will expire, the CLUB ADMIN can RESET TO QUEUE if necessary.
Registered After an order is made registrant is moved to the  REGISTERED tab.
Revert Accepted A CLUB ADMIN can revert an ACCEPTED OFFER if the REQUESTOR never signs up.  This will remove the open spot for the REQUESTOR.
Reset to Queue Changes back to the initial state IN QUEUE.
